Booking and Payment Upon booking a trip with Hadrian’s Wall Adventures, the price is guaranteed and will not change. To confirm your reservation, a deposit of £200 per person is required, with the balance due eight weeks prior to the start of your trip. Full payment is required for bookings made within eight weeks of the departure date. We reserve the right to amend accommodation arrangements and provide alternative off-trail accommodations, including transport to these locations if necessary.

Accommodation and Luggage We act solely as an agent in all transactions, meaning the responsibility for services provided by third parties, such as accommodation and transport, lies with them. Each piece of luggage must weigh no more than 20kgs, with no additional items attached. Any excess items will be removed and left behind. We do not carry valuables like laptops, as bags are moved multiple times during your journey. We accept no responsibility for damage to bags or their contents.

Insurance and Liability It is compulsory for all guests to have insurance for the duration of their trip. We provide a map via a third-party smartphone app, which is neither owned nor managed by us. We accept no responsibility for accidents, injuries, omissions, or death during the tour. Our liability does not extend to actions taken by partners or suppliers, and we are indemnified against any acts of third parties.

Support and Communication Support during your trip is available exclusively through our live messenger service. We strive to provide prompt and effective assistance through this medium.

Cancellation Policy Our cancellation policy is as follows: cancellations within 90 days of the trip will result in the loss of the deposit. For cancellations between 50 and 90 days before the trip, 30% of the total cost will be retained. No refunds will be given for cancellations made less than 50 days before the trip.

Booking Process and Contract Terms The contract between you (the lead-named person and any persons on whose behalf you book) and Hadrian’s Wall Adventures is established once we send our confirmation invoice. You must be at least 18 years old to book. By booking, you agree to these terms and confirm that you have the authority to book for all individuals in your party.

Price Inclusions and Exclusions Our holiday packages include pre-booked itineraries, accommodation, breakfast, and a smartphone app with maps. Return flights, optional extras not added during booking, personal insurance, passport and visa costs, vaccinations, medication, and additional food and drink are not included.

Health and Safety Requirements Participants must be in good health to undertake our active trips. It is your responsibility to ensure you have the necessary fitness level to enjoy the tour. We accept no liability for any health-related issues that arise during the trip. Insurance covering all potential scenarios is mandatory.

Changes to Bookings We will endeavor to accommodate changes to bookings but cannot guarantee success. Requests for changes must be made in writing and will incur an administration fee of £50, plus any additional costs. Transfers of bookings to another person must be communicated at least 14 days before departure and may incur an administration fee of £100 to £200, depending on the timing.

Complaints and Disputes If you encounter any issues during your holiday, inform the relevant provider and our representative immediately. Complaints made after your return cannot be effectively investigated. Any unresolved issues should be reported to us within seven days of your return.

Limitations on Liability We strive to provide an exceptional holiday experience but acknowledge limitations in law. We are not liable for events outside our control, such as personal negligence, medical emergencies, local laws, or unforeseeable circumstances. Our liability is also limited by international conventions where applicable.

Miscellaneous We take your privacy seriously and comply with the Data Protection Act 2018. Any terms found invalid by a jurisdiction will be modified only as necessary to comply with the law. This agreement is governed by the laws of England and Wales, and any disputes will be litigated in this jurisdiction. Communications will be considered delivered if sent by hand, post, or email within specified timeframes.

Luggage Transfers Luggage transfers are subject to strict guidelines: each item must weigh no more than 20kg and be a single item, with no additional items attached. Non-compliance will result in the cessation of luggage transfer services.

Amendments and Cancellations by Us While we aim to adhere strictly to the arrangements made, there may be occasions when changes or cancellations are unavoidable. Should we need to amend or cancel your booking, we will inform you as soon as possible. You may then choose to accept the changes, accept an alternative arrangement of a comparable standard, or cancel the booking for a full refund of all payments made. We will not compensate for minor changes outside our control, such as changes to flight times or different carriers.

Special Requests Special requests must be submitted in writing at the time of booking. While we strive to meet all reasonable requests, we cannot guarantee their fulfillment. Confirmations of special requests will be provided in writing at least eight weeks before your departure date if we are able to accommodate them.

Health and Physical Requirements Our tours are active and demanding, requiring participants to be in good health and physical condition. Trails can be challenging, and it is your responsibility to research and ensure you are fit enough to undertake the activities involved. We accept no responsibility for injuries, accidents, or health issues that may arise during the trip. Adequate insurance is mandatory to cover all potential scenarios.

Documentation and Legal Requirements You are responsible for ensuring that all travel and immigration documents, such as passports and visas, are in order. We do not accept liability for delays or issues arising from incomplete or incorrect documentation. In case of problems, we will assist as much as possible, but we cannot delay or change travel arrangements for the benefit of the group.

Responsibility and Indemnification Hadrian’s Wall Adventures acts solely as an agent and accepts no responsibility for the actions, omissions, or failures of third-party service providers. We are indemnified against any acts or omissions by these third parties. Your participation in our tours is at your own risk, and you agree to indemnify us against any claims, actions, or liabilities arising from your participation.

Electronic Communications Electronic communications, such as emails, are considered valid and legally binding. Communications sent by email will be deemed received within 24 hours if no notice of non-receipt is received.

Severability If any provision of this agreement is found to be invalid or unenforceable, it will be modified to the minimum extent necessary to comply with the law. The remaining provisions will continue to be in full force and effect.

Governing Law and Jurisdiction This agreement is governed by the laws of England and Wales. Any disputes arising from or related to this agreement will be resolved exclusively in the courts of England and Wales.

Privacy and Data Protection Hadrian’s Wall Adventures takes your privacy seriously. We handle your personal data in accordance with the Data Protection Act 2018 and our privacy policy, which outlines how we collect, use, and protect your information.
